PSSP does not have a separate notification of case conference for Service Plans. If a student is on a service plan, create a "Notice of Case Conference" as you would for an IEP.
Before generating a notice of case conference, please ensure that the parent/ guardian and student information are accurate. This can be accessed through "Student Information" and "Student Contacts". (Steps can be found here.)
Set the date, time, and location of the conference.
The notice of case conference must be sent 5 business days before the meeting.
When adding participants to the IEP meeting, notice you have two options to select and enter names:
Look Up – Use this option to search and select teachers/staff members already in the system. You can search by First Name or Last Name to quickly find the correct individual.
Non-Look Up – Use this option when you need to manually enter the name of a participant who is not listed in the system (such as a parent, outside provider, or other non-staff individual).
Use the plus sign or the rectangle with an arrow to add another participant
Use the up and down arrows to change the order
Use the "X" to delete a participant.
Check this box to reflect how the notice of case conference will be provided to the parent/ guardian. Once selected, an additional field will appear below allowing you to choose the Mode of Delivery.
Mode of Delivery Options Include: Paper, Fax, Email, Given to Parent, Other
To the far right you will see Date of Delivery and Parent Response Date boxes. Those will be completed prior to the case conference and prior to setting the document as Final.
Check this box if you need to generate a Consent to Excuse form for a team member who will not be attending the meeting in its entirety or from a portion of the meeting that does not involve their expertise.
After selecting, hover over Notice of Case Conference at the top beside the two arrows. A dropdown will appear like the image to the side. Choose Consent to Excuse Participants. The system will take you to a new page and prompt you to complete the required fields to create the excusal request.
Reminder: A signed consent and excusal are required in writing prior to the meeting before excusing any team member from any portion of the IEP meeting. Consent cannot be given or signed during the meeting.
You will have the option to excuse the individual from the entire meeting or a portion of the meeting that does not involve their expertise.
Once you have completed filling out the information of the notice of case conference and/or consent to excuse form click Save-Done Editing. If you have passed the systems compliance check, navigate to Set Document and change the Status from Draft to Review. Then, go to Print. You will have the option to print All Sections, Selected Sections, or This Section (which prints only the page you are currently viewing).
Use "Non-look up" then type: Student is not in general education.
